BayAreaChess Policy & Practices Updates
effective 4/1/17

Dear Players,

I would like to bring to your attention to a few important details regarding recurring and special tournament registrations.
So please, take your time and read it thoroughly and bookmark it for future reference.

Economy registrations: will only be allowed up to a week before any tournament. Onsite registrations will NOT have any economy registration fee option.

Late fee policy: is being updated to the following based on practices and availability:
- Recurring tournaments: we will keep the late fee off as long as possible, and only turn it on if the event is less than 48 hours away provided we have plenty of space.
However, if space becomes an issue, we have to turn on the late fee, even if it's several days before. If we have 75% of the available space filled up, the late fee will be turned on!!
- Special events: Late fee will be turned on 4 days before the tournament, or at 75% capacity, whatever is sooner.
Late fee is not discountable, and Late fee is not covered by the Platinum memberships.
Please note, that the Late fee policy is being updated to the above mentioned guidelines. We will try to post this update everywhere as soon as possible.

Reschedule:
We will be enforcing the rescheduling policy more strictly from April 1st:
In case of a cancellation, if we are notified 24 hours before to the event, 90% of the entry fee is credited toward any future tournament.
Any withdrawal/rescheduling request within 24 hours of the start time will be subjected to a $20 cancellation/rescheduling fee. This is applied to all membership holders too, and this fee is not discountable.
Any credit must be used within 6 months of the original notification date.

What's new regarding Registrations?
Please visit the general Advanced Entries table: www.bayareachess.com/entries
As a reminder: there are two links to the Advanced entries for each tournament: Live and Updated.
Live Entries: is a dynamic table that pulls directly from the database. Here you can check if your registration went through, because it should automatically display your/your child's name as soon as the transaction is complete. It does not, however, have all the special requests, like playups, etc..
Updated Entries: is a manually updated webpage where everyone listed in their correct section, and this is the page where you should always double check your pre-registration. Please always pay attention to the Last Updated date, and only email us if your request was made before that date.
Based on some great feedback, we have started listing each location's maximum capacity on the top of the Updated Entries page, so that you are aware when the Late fee will be turned on.

How to save money?
The easiest is the Basic Membership, which costs $80 and it'll save you 25% off from every tournament registration for 12 months.
To get the Basic membership, please go to: www.bayareachess.com/my/memberships
Please, know that onsite registrations can not enjoy the membership savings. Memberships discounts only available online.

Play-up rule reminder:
Play-up rule: max 200 rating point difference is still in effect: player needs to be within 200 rating points (either supplemental OR actual rating) to the next section in order to be eligible for playing up.

No-show consequences:
This topic has been discussed in great depth by many TDs and regular players. It is very impolite, unprofessional and unsportsmanlike to not show up to a tournament where one is registered for, because TDs will pair and someone will not be getting a rated game, "just" a forfeit win, which is never a fun thing. While directly it does not affect either player's rating, it indirectly affects the opponents tournament performance, because the number of rated games will be less than expected.
Please, be advised that frequent no-shows and cancellations are noticed within the chess community and you run the risk of causing serious damage to your reputation. Please be respectful of the game and other players. BayAreaChess reserves the right to deny economy registration options for players who are frequent no-shows.

I hope I covered everything important. Should you have any questions, or something is not clear, please do not hesitate to reach out to us!
Email us to ask@bayareachess.com and our amazing Team will be answering your email super fast.

Many thanks!
